Here's what that means for you and us. For us, creating invoices is a lot simpler, and takes up less of our time. For you, the system is slightly more automated. Here are some anticipated questions:
How will my invoices look?
Your invoices will come from mailer@waveapps.com and will feature a link as well as an attached PDF. The link will bring you to a 'living' copy of your invoice, which will update to show any added items, discounts, and payments. The email will feature your invoice balance and due date.
How do I pay my invoices?
Please continue to pay your invoice the same way as before. While Wave supports accepting payments, their fees for doing so are higher than those our current providers charge. Payment with cash, check, or Zelle is preferred. For checks and Zelle, please indicate your invoice number in the memo line. Do not send cash via mail. We cannot take responsibility for any payments lost in transit.
Has the invoice fee changed?
We have not changed the invoice fee, but the handling of it will appear differently now. All invoices will now receive the invoice fee. If you are eligible for a waiver, it will be discounted at the bottom of the invoice or as a line item.
What if my invoice due date is longer than twenty-one days?
Due to a technical limitation, we cannot automatically set the due date to twenty-one days. If we do not manually adjust the due date, it will be set to thirty days by default. If this happens, we will honor the posted due date. If the posted due date has passed without payment, a late fee will be assessed.
How do receipts work?
Receipts will be sent automatically following payment confirmation. We will apply payments to invoices within two (2) business days, or upon customer request. Please note that as long as full payment is received before the due date, late fees will not be assessed even if we do not post it to Wave before the due date.
Are there any customer benefits?
Yes. As cost calculations are able to be done automatically, there is less room for oversights that may result in a billing error, and invoicing will take less time to complete, allowing them to be sent out sooner following work completion. In addition, we can now send estimates for work to be completed, allowing transparency prior to work, as well as locked-in hourly rates.
We also now accept multiple partial payments for invoices. For example, an invoice of $100 can be paid with two payments of $30 and one payment of $40. All payments received are reflected within two (2) business days of receipt on Wave.
Is Wave a permanent solution?
We will reassess this decision occasionally and will notify affected customers if we decide to change to a different system. If we determine in our sole discretion that Wave is no longer suiting our purposes, we may terminate its use immediately.
What happens if you stop using Wave?
If we stop using Wave, all invoices issued using Wave will remain accessible on the platform for a minimum of ninety (90) days after the conclusion of service. All new invoices will be handled using the new system we adopt.
